The walkthrough

Inbox to deep report — three steps.

1

Start with the morning email

From 08:00 store time, EasyKOT prepares the previous trading date's summary for delivery. Cash, UPI and Card add up to Captured; Refunds stay separate, and Net collected is Captured minus Refunds. Orders, Average order and Net sales follow each bill's trading date, while collections and refunds follow the day the money was recorded. Delivery can be delayed, and a still-open business window makes the snapshot provisional. A date with no bill, captured payment or refund stays quiet.

2

Open Reports when a number needs a why

Open Reports for four clear families: Sales & collections, Menu performance, Money & costs, and Close & exceptions. Keep the same dates while you move from the overview to a fixed table, or open the matching bills behind a menu row.

Reports with Menu performance and Categories selected for 26 September. The QA search leaves one current category with 2 units sold, ₹1,100 gross sales, ₹550 average price and unknown contribution; View bills opens its exact bills.

Step 2: one Reports page keeps the date and context while you group menu sales and open the matching bills.

3

Use the deep reports for real decisions

Sales & collections keeps bill sales on the bill's trading date and Cash, UPI and Card on the date each payment was captured. Menu performance groups the same sold facts by Item, Category or Variant and opens the exact matching bills. Money & costs carries P&L, expenses, labour and recorded movements. Close & exceptions keeps bills, cash counts and morning-summary history together. Pick your range once; fixed tables download as Excel or CSV with that context.

Reports with Daily sales selected for 26 September: 3 bills, ₹2,600 billed including GST, ₹2,150 net sales, ₹400 Sales loss and no automatic remainder.

Step 3a: Daily sales keeps billed value, net sales, Sales loss and the automatic remainder separate.

Reports with Collections selected for 26 September. Cash shows ₹1,500 captured, ₹50 refunded and ₹1,450 net; Card shows ₹500 net and UPI ₹200 net.

Step 3b: collections keep Captured, Refunded and Net separate for each tender.

Reports with Recorded movements selected for 26 September. Net recorded movement, operating movement and collections are ₹2,150; expenses, staff pay, owner capital and owner drawings are ₹0, with a note that this is not a drawer cash balance.

Step 3c: recorded money in and out, with owner money separate and no claim that it is the drawer balance.

Reports with Cash counts selected. A shift closed with ₹460 counted and expected, then later movement changed the latest expected cash to ₹560 and the latest variance to minus ₹100.

Step 3d: Cash counts preserves what was expected at close and shows when later money changes today's view.

Bulk add expenses shows two supplier rows and Add category and Add blank row buttons. The first row has Pest control selected and ₹450 entered; the second amount is blank.

Step 3e: Bulk add is optional. Use it in the owner dashboard, or from Settings → Add expenses on an online Desktop App. The full ledger and reports stay in the dashboard.

Add your own expense category: In Settings → Reports & accounts, press "Add category" beside Expense categories. You can also open Expenses in the owner dashboard and press "Add expense" or "Bulk add", then "Add category". Enter "Name", choose "Group" and press "Create category". The four groups are "Food & purchases", "Staff costs", "Premises & utilities" and "Other expenses". Choose carefully because the group cannot be changed later. The category name appears in Expenses, P&L and expense CSV downloads.

Add expense category with Cleaning service entered as the name, Other expenses selected as the group, and Create category and Cancel buttons.

Looking for one bill, or what sold best? Orders lists each bill with its table, items and payment. Reports → Menu performance groups sold facts by Item, Category or Variant and opens the exact matching bills. See the Orders and menu performance guide.

Turn the email off (or on) yourself: dashboard → Settings → Notifications → "Daily summary". It is on by default, and it goes to every person with dashboard access: the partner sees what you see.

Report questions

Straight answers.

When does the daily summary email arrive, and what's in it?
EasyKOT starts preparing the previous trading date's summary from 08:00 store time; delivery can be later. This is separate from the auto-close cutoff. Cash, UPI and Card add up to Captured, Refunds stay separate, and Net collected subtracts refunds. Sales use the bill's trading date; collections use the date money was recorded. A check settled later through Day close on the Desktop App takes the day of that settle.
Whose 'day' is it — calendar midnight or my restaurant's night?
Your restaurant's. Reports and the email both run on your trading day (4 AM by default, adjustable) so the 1 AM biryani belongs to Saturday night's number, not Sunday's. The Desktop App, the kitchen counter and the report all agree on this, because they all read the same setting.
Where is the Star, Plowhorse, Puzzle and Dog quadrant?
That chart remains in the optional Accounts → Menu tab for a named period. It crosses sales volume with contribution margin and needs Cost to make on the dishes. The new Reports → Menu performance tables are different: they group sold facts by Item, Category or Variant and open the exact matching bills; they do not put dishes into four quadrants.
Can I download reports as PDF or Excel?
Fixed tables in Reports download as Excel or CSV with the selected dates, view, grouping and filters; there is no PDF export. Orders follows its active Status, Type, Paid by and Search filters and separates Bill value, Captured, Refunded and Loss. Charts and overview cards stay in the dashboard.
Where do food cost and labour numbers come from?
From what you record, and the reports are upfront about it. With stock valuations at both ends of a period, P&L cost of goods is opening stock plus purchases minus closing stock. Without both valuations, it uses purchases as an estimate and labels that gap; EasyKOT has no stocktake screen yet. Cost to make on a dish feeds Accounts → Menu contribution and does not change P&L cost of goods. Labour comes from the pay you set under Staff & pay (a monthly salary is spread across the days it covers, daily-wage staff count what you actually paid them, hourly staff their logged hours) and until you set pay the card says so instead of showing a zero. Expenses keep their category and pocket, and recurring bills can be suggested so the P&L does not quietly miss the rent.
Can I add several expenses from the EasyKOT Desktop App?
Yes, while the Desktop App is online. Choose Add expenses in Settings. Previously used suppliers and categories come first; fill only the amounts you need and blank rows do not save. The full expense ledger, supplier dues, recurring-cost suggestions, reports and downloads stay in the owner dashboard.
