A business with a name and an address.
EasyKOT is run by KODEYARD (GSTIN 27DVXPS0694K1ZF), Ratnagiri, Maharashtra, registered under GST in the name of its proprietor, Yunus Sadique Shaikh (postal address on the contact page). Email hello@easykot.com. When this page says “we”, that is who it means. When it says “you”, it means the business that holds the account.
You accept these terms by ticking the box when you create an account, and again by installing the EasyKOT Desktop App or using EasyKOT. You must be 18 or older, and if you are signing up for a business you must be allowed to enter into contracts for it. If you cannot agree to something here, do not create the account; write to us instead.
The whole product, from the first day.
A subscription covers one restaurant: the Desktop App, the captain app on as many staff phones as you like, the kitchen display, and the owner dashboard. There is no per-user, per-device or per-order charge, and no feature is held back for a higher tier.
For as long as your subscription is current, you may use EasyKOT for that one restaurant. The permission is personal to you, cannot be transferred or sub-let, and ends when the subscription does. A second outlet needs its own subscription.
Downloading the Desktop App does not make the software yours.
You may install it on the computers and phones your restaurant uses and keep copies for backup. You may not sell, rent, sub-licence or redistribute it, offer it to others as your own service, remove our name from it, or work around the checks that tie it to your subscription.
You may not copy, decompile or reverse engineer the software, except where Indian law says you may: section 52(1) of the Copyright Act 1957 lets a lawful user make back-ups, do what is necessary to make an independently written program work with ours when that information is not otherwise available, and observe, study or test how it runs to understand the ideas behind it. Nothing here takes those rights away. If you need something to interoperate, ask us first; it is usually faster.
Three months free, then ₹299 a month, until you stop it.
- The trial is three months and needs no card. Nothing is charged during it and nothing starts automatically at the end of it: if you do nothing, the account simply stops billing new work rather than quietly taking money.
- After that it is ₹299 per month, or ₹2,990 per year. The yearly price is the monthly one with two months taken off. GST at 18% is added and shown separately on every invoice.
- Payments are collected by Razorpay. A GST tax invoice is issued for every payment, in your registered name and carrying your GSTIN if you have given us one.
- A paid subscription renews itself until you stop it, unless you chose to pay once. At checkout you pick one of two ways to pay. Pay once covers a single month or year and stops there: nothing renews by itself and nothing is kept on file to charge you again; we email you before the period ends. With AutoPay, you authorise your bank to pay us the same amount every month (or every year, on the yearly plan) until you cancel. Your bank sends its own notice at least 24 hours before each payment, and you can refuse that one payment or cancel the standing instruction at your bank at any point. We email you before a renewal and send a receipt every time you are charged. To stop renewals from our side, open Billing in the owner dashboard and press the cancel button: one button, no phone call, no notice period. The subscription then runs to the end of the period you have paid for and does not renew. Nothing is charged for cancelling, and refunds are covered by the refund policy.
- If we change the price, existing subscriptions are told first, by email, at least 30 days ahead. The new price only ever applies to a period that has not started, never to one you have already paid for, and if you do not want it you can cancel before it takes effect.
We hold it. We do not own it.
Your menu, orders, bills and books belong to you. We claim no ownership of them, we do not sell them, and we do not use them to train anything. Your bills and fixed report tables download from the dashboard as Excel or CSV, and your other records stay readable in the dashboard while your account is active. You can also ask us to delete them. The privacy policy sets out exactly what is held and for how long.
If you choose to scan a supplier bill, you instruct us and the AI processor named before upload to read that photo for expense suggestions, using the limited context described in the privacy policy. Upload only documents you are authorised to process, without card numbers or unrelated personal details. Check the supplier, amount, currency, date and category yourself, then choose whether and how the bill was paid. Suggestions can be wrong or incomplete; they do not automatically create an expense, payment or GST record. Keep the original bill for your records. The temporary scan copy is not an accounting or tax-document archive.
Your staff's data is yours. We are the safe pair of hands.
Two different things sit in EasyKOT and the law treats them differently. Your account (your name, your email, your subscription) is ours to look after: we decide why we hold it and we answer for it. What you put into the software (your staff, your customers, your menu, your orders, your books) is yours: you decide what to record and why, and we process it only on your instructions, as your data processor under India's Digital Personal Data Protection Act 2023. This section is the written contract that Act asks you to have with us.
- We process your store's data only to run the service for you. For accounts bound by this version of these terms, that comes with one narrow exception: a few yes-or-no facts about how far your account has got (a menu set up, a staff member added, a first sale made), which we report for our own usage measurement as the privacy policy describes, never with an amount, an order or a name. An account that accepted an earlier version keeps that version's terms until its next renewal, as section 16 sets out. We do not sell your store's data, we do not use it to advertise, and we do not train anything on it.
- We keep it secure by the measures described in the privacy policy and require the same of the suppliers we use to deliver the service. Those suppliers are, and no others: PlanetScale (the database, in Mumbai); Amazon Web Services (the application servers and the nightly backup, in Mumbai); Cloudflare (this website, the owner dashboard, the downloads and the bot check on the sign-up form (Turnstile), in its global network); Resend (the emails we send you (it sees your email address and the message), in the United States); WhatsApp (Meta) (the messages our team sends you there, such as setup help and the setup videos (it sees your mobile number and those messages), in Meta's data centres worldwide); OpenAI (optional AI menu import and supplier-bill scanning: it reads the menu files or supplier-bill photo you choose to upload, with limited context needed for that task, including your restaurant currency and expense categories for a bill scan, in the United States); Google (usage measurement on this website and the owner dashboard (Google Analytics via Tag Manager), including the account milestones and plan payments our servers report to it, never the Desktop App or the captain app, in the United States); Razorpay (collecting your subscription payment; it sees the amount and the payer's details, in India); and Sentry (crash and error reports from the Desktop App, the captain app, the owner dashboard and our servers: the error, the app version and the kind of device, never an order, a bill or a name, in the United States). The privacy policy carries the same list. We tell you before we add one.
- If your store's data is caught in a security breach we tell you without delay, with what we know, so you can meet your own obligations to your staff.
- When your account closes we delete your store's data on the timetable in the privacy policy, except what tax law makes us keep. You can ask for it sooner.
- We help you answer a request from one of your staff, or from a diner you saved as a customer, to see, correct or delete their own record.
What you are responsible for: telling your staff that their name, role, shifts and pay are recorded in EasyKOT, which India's law treats as a normal part of employing someone and does not require you to get their consent for; and, if you ever add a staff member under eighteen, getting a parent's consent first, because the law requires it of you and the software cannot tell how old anyone is. If you save a diner's name or number, use it for their orders and bills, and delete it on the Customers page if they ask you to.
Four things, none of them surprising.
- Bill honestly. Use EasyKOT for lawful trade and issue the tax invoices your jurisdiction requires. What you enter is your declaration, not ours.
- Look after your PINs. Staff PINs and dashboard passwords identify who did what. Share them and the audit trail stops meaning anything.
- One subscription, one restaurant. A second outlet needs its own.
- Do not attack the service. No reselling it as your own, no probing other stores' data, no attempts to break the isolation between stores, no automated hammering of our servers, and no using EasyKOT to store unlawful material or send anyone spam.
Billing survives our outage. Reporting may not.
EasyKOT is built offline-first precisely so that our problems are not your problems: if our servers are down, or your internet is, the Desktop App keeps ringing sales and printing bills on your own counter, and syncs when the connection returns. What an outage can delay is the dashboard, cross-device sync and emailed summaries.
We do not promise a specific uptime percentage, because a number we have not measured for a year is not a promise. We do promise to tell you when something is broken.
The test print is the check.
EasyKOT prints to any printer that speaks ESC/POS, over USB, network or Bluetooth. We cannot test every printer sold in India, so print one bill before your first service and write to us if it does not work. We do not promise that any particular printer, cash drawer, phone or laptop will work with EasyKOT. Features marked as new in the app work, but have less road behind them than the Desktop App does.
The Desktop App checks for updates and downloads them in the background. You choose when to restart and install. An update check sends only a version number and the kind of computer it is running on.
Who else is in the room.
Payments are handled by Razorpay under their own terms, and the captain app installs from Google Play under Google's terms. The owner dashboard and this website use Google Analytics, and our servers report a few account milestones and plan payments to it, as the privacy policy describes; the Desktop App, the captain app and the kitchen display carry no analytics at all. Every app sends crash reports to Sentry, as the privacy policy describes.
Nothing stops on the day a payment fails.
You keep full access for 30 days after the paid period ends. From day 20 the Desktop App starts showing a reminder, and from day 30 it stops taking new sales until the subscription is renewed. Your data stays where it is throughout, and paying restores everything the next time the Desktop App reaches the internet.
Either side, with notice.
You may cancel at any time, as set out in section 4. We may suspend or end an account for non-payment, or for a serious breach of section 7. Except where someone is actively attacking the service or using it to break the law, we will contact you first, say what the problem is, and give you a reasonable chance to fix it. Whatever the reason, your data is not deleted for at least 30 days after the account ends, so you can read or note what you need from the dashboard before it goes.
What we are, and are not, on the hook for.
We will do our part properly, but software is not an insurer. Except where Indian law does not allow it to be limited, the total liability of either of us for any claim is capped at what you paid us in the twelve months before the claim, and neither of us is liable to the other for lost profit or lost custom. Nothing here limits liability for fraud, for wilful misconduct, or for anything the law says cannot be limited.
EasyKOT is a record-keeping tool, not tax, legal or accounting advice. You set your tax settings and EasyKOT prints what you set; we do not check whether your GST registration, rate, scheme or FSSAI number is right. Print your first bill and show it to your accountant before you use EasyKOT for real trade. What you file is your responsibility and your accountant's.
Statutory registers stay your job.
EasyKOT can hold shifts, pay and payments for your staff, and your day-to-day books. Those are your business records. Registers, returns and displays that a law requires you to keep, under the shops and establishments Act of your State, the Code on Wages, GST or income tax, remain your responsibility, in the form and for the period that law requires. EasyKOT is not a substitute for them, and we do not certify that anything it produces satisfies them.
EasyKOT is ours, and it is a ™, not an ®.
EasyKOT, the EasyKOT logo and the software are ours and stay ours. EasyKOT™ is a mark we use; it is not a registered trade mark today. You may say that your restaurant runs on EasyKOT. You may not use our name or logo to suggest we endorse you, or in a product name of your own.
It still matters.
- If these terms change we date the change at the top of this page and email account owners when the change is material. A material change applies from your next renewal; if you do not want it, cancel before then.
- If something is outside anyone's control, a power cut, a flood, a national network failure, a government order, neither of us is in breach for the time it lasts, though you can still cancel if it goes on.
- Transferring the agreement. Tell us if you sell the restaurant; we will not unreasonably refuse to move the account. We may transfer this agreement to whoever takes over the EasyKOT business, on the same terms.
- If one part fails, the rest still stands. This page, with the privacy policy and the refund policy, is the whole agreement between us about EasyKOT.
- Notices. We write to the email address on your account, so keep it current. You write to hello@easykot.com.
A named person, and a clock.
Write to hello@easykot.com or message us on WhatsApp at +91 72191 83939. Our Grievance Officer is Yunus Sadique Shaikh. We acknowledge every complaint within 48 hours with a reference number you can quote, and resolve it within one month. If we are handling personal information for you, the same officer is the one to write to about that. The contact page has the full details and the consumer helpline routes.
India, and the courts at Ratnagiri.
These terms are governed by the laws of India. Any dispute that cannot be settled between us goes to the courts at Ratnagiri, Maharashtra. If you are a consumer under India's Consumer Protection Act 2019, that does not take away your right to complain to a consumer forum where you live or work.
EasyKOT is sold to businesses in India. We do not offer it to businesses established in the European Economic Area or the United Kingdom, and this site is not directed at them. If you run a restaurant outside India and want to use EasyKOT, write to us and we will tell you honestly whether we can bill you yet; if we do, you are responsible for your own local taxes and for checking that using it is lawful where you are, and nothing here takes away any consumer right your own country gives you that cannot be given up.
