Guide · cash shift

Run a cash shift from opening float to closing count.

The drawer should reconcile from records, not memory. Record the opening float, every cash-in and paid-out during the shift, then count the physical cash and close. The Desktop App hides the target until after your count; the phone shows its expected amount before you count.

The walkthrough

Open the shift, record movements, then count and close.

1

Open Orders → Cash box and record the float

In the Desktop App, open Orders → Cash box. Enter the change placed in the drawer at the start of service under 'Opening float (₹)', then press 'Start cash shift'. Cash sales recorded before the shift opens are outside this shift's expected cash.

2

Record each cash-in and paid-out when it happens

Enter an amount greater than zero under 'Amount (₹)'. 'What for' is optional, but a note such as vegetables or auto fare makes the movement useful later. Press 'Cash in' when money enters the drawer and 'Paid out' when it leaves. 'This shift’s slips' lists the time, note and amount.

3

Count the Desktop App drawer without seeing the target

Press 'Count & close the shift'. Count every note and coin in the drawer, including the float. Enter the total under 'Counted (₹)', then press 'Close shift'. The Desktop App hides cash sales and the expected amount until the close. Only then does it show 'Expected', 'Counted' and 'Variance'.

4

Know the different phone count

In the Captain app, open Device → Cash box. The phone shows 'Opening cash ₹', 'Cash in', 'Paid out' and 'Should be in the box', so its count is not blind. Press 'Count & close shift', enter 'Counted ₹' and press 'Close shift'. A captain needs manager approval for every cash action.

The math

Expected = float + net cash sales + cash-in − paid-out.

Only captured cash payments and cash refunds enter this total. UPI and card sales stay separate. At close, Variance = Counted − Expected.

One store, one total: Do not treat v1 as separate reconciliation for each drawer or denomination.

Cash-shift questions

Straight answers.

How is Expected cash calculated?
Opening float + net cash sales after the shift opened + Cash in − Paid out. Net cash sales subtract cash refunds. UPI and card sales are excluded from the drawer's Expected amount. Variance is Counted − Expected, so a negative result is short and a positive one is over.
Who can run the cash shift?
Owners, managers and cashiers can run a cash shift. On a phone, a captain's action opens manager approval and the ledger row names the approver. The Desktop App likewise requires a cashier, manager or owner to sign in.
Why is the Desktop App count different from the phone?
The Desktop App hides cash sales and the expected amount before the count, so staff cannot count toward a target. The phone shows 'Should be in the box' in its open-shift summary. Both record Expected, Counted and Variance after close.
Does this reconcile multiple drawers or note denominations?
No. V1 has one open cash-shift total for the store. It has no note-and-coin denomination breakdown, combined reconciliation across multiple drawers or variance-reason field at close. Cash-in and paid-out slips are append-only ledger entries; this screen has no edit flow for them.
What if cash sales happen before the shift is opened?
The payment window starts at the cash shift's opening time. Earlier cash sales are not included in the new shift's Expected total. Open the shift before service; do not invent a Cash in entry to make an earlier sale balance.
