Guide · menu setup

Let AI do the menu typing — you just check its work.

The menu is the one genuinely long job in setting up an EasyKOT Desktop App: two hundred dishes is an afternoon of typing or ten minutes of checking. EasyKOT reads your existing menu from photos, a PDF or a spreadsheet into a review grid; you correct what needs correcting, press import, and the Desktop App is selling it. Here is the whole path, stock-outs included.

The walkthrough

Photo or PDF to the Desktop App — four steps.

1

Pick your lane: AI import, template, library, or sample

The dashboard's menu setup opens with four doors. Have a menu already? 'Import with AI', the wide card on top, takes photos, a PDF, or a CSV/Excel sheet in whatever layout it already has. Already typed your dishes into our columns? 'Use our template' reads that file instantly, with no AI. Starting fresh? 'Build from our menu' offers a 245-dish Indian library to tick dishes from. Just exploring? Install the sample menu, poke at it, remove it later. Nothing locks you in: every lane ends at the same editable menu. On a new store, Get started's first step puts the same AI import right on the card, with a Type dishes myself button under it for an owner with no menu card, and the sample and the dish library under Other ways in.

EasyKOT's menu onboarding on a store with no dishes yet: a No dishes yet card with a Type dishes myself link, then Import with AI across the page with four photos of a printed menu in its tray beside an Add another page tile, the count 4 of 12 pages, a Read my menu (4 pages) button next to Choose files, a Watch how it works link and a Send my menu on WhatsApp offer; below it Use our template with a CSV template download, Build from our menu with a Browse dishes button, and Try a sample menu with a Start with a sample menu button

Step 1: four doors, one editable menu at the end of each.

2

Drop the menu and let it read

On Import with AI, add up to 12 pages of one menu: photos, PDFs or a mix, dropped in together or one at a time. They collect in a tray, each with its page number and a × to remove it, and nothing is uploaded until you press 'Read my menu'. Then every page is read together as one menu, in the order you added them, so a menu of several pages uses one AI import, not one per page. A spreadsheet goes up on its own. Each photo can be up to 10 MB, with 80 MB in all per import; go over and the page tells you what to trim before anything is sent. The progress line tells you what is actually happening (Reading your menu, Double-checking dishes and prices, Running final checks). A spreadsheet dropped here is uploaded and read by the AI the same way a PDF is, so its columns can have any names in any order. Each import uses one of your store's AI menu imports, however many pages it has. A file already in our template's columns goes on 'Use our template' instead: a CSV there is parsed in your browser and never uploaded, an Excel file is uploaded and read in a moment, and neither uses an AI import. Dishes that come in as Half/Full fold into one dish with portions, not two.

Let's import Konkan Kitchen's menu from a menu photo into EasyKOT. Visit the owner admin at app.easykot.com and sign in. On Get started, find Add your menu. Click Choose a file and select your menu photo. Use a clear photo so dish names and prices are easy to check. EasyKOT reads the menu and prepares a draft. Wait for the review screen. Nothing has been saved yet. Compare every dish, category, portion, price, and veg or non-veg label with your menu card. Scroll through the whole list. Check both prices for dishes sold by portion. Chicken Biryani Half ₹180. Chicken Biryani Full ₹320. Paneer Butter Masala Half ₹160. Paneer Butter Masala Full ₹280. If anything needs correcting, edit it here before importing. Do not continue with a missing or incorrect price. When everything matches, click Import 15 dishes. Wait for the import result. Your menu is now saved. Open Menu & stock, then All items to check it. Here are our 15 dishes. Updating dishes and adding varieties each have separate videos.

3

Check the review grid — nothing saves until you say so

Every dish lands in an editable table: name, category, portion, price, veg or non-veg. Rows the reader wasn't sure about wear a flag: a red flag blocks the import until you fix the row, an amber one just asks for a glance. Edit anything in place, delete what's wrong, then press 'Import N dishes'. Until that press, your menu hasn't changed by one paisa.

The import review grid after reading a menu file: 14 dishes found, Paneer Tikka folded into Half ₹220 and Full ₹380 portions, veg and non-veg marks auto-set, and the note that nothing has been saved yet

Step 3. The AI types, you check: nothing saves until 'Import N dishes'.

4

Finish the details, then run the Desktop App from the Desktop App

After import, open any dish to set what a photo can't carry: portions, add-on groups like extra cheese, variants, a description. Under Portions, '+ Sell in portions' starts Half and Full at the dish's price; type Quarter (or any size) beside '+ Add size', price it, and press 'Save portions'. The same screen shows the dish's GST slab beside its price, with a live price-including-tax preview. It starts on your store's rate. Configure item tax treatment, including No GST, only after your accountant confirms it. Tax treatment may differ when an item is sold separately versus supplied as part of restaurant service. Day to day, the Desktop App's own 'Menu availability' screen handles the kitchen reality: flip a dish off when it runs out and its tile greys on every Desktop App, pin the counter's favourites to the top. Works offline, syncs everywhere.

The dashboard's item editor for Paneer Tikka: Veg selected, category Kebabs & Tikka, price ₹220.00 excluding tax beside an empty Cost to make box and a GST slab picker on GST 5%, the live final price ₹231.00 including GST, Half ₹220, Full ₹380 and Quarter ₹120 portions, each with up and down arrows, and an Add a size box with the + Add size button under them, an Extras add-on group with Extra Cheese at +₹30, and the Selling and Pinned on the Desktop App switches

Step 4a. The details a photo can't carry: portions and add-ons. The GST slab is already on your store's rate.

The Desktop App's Menu availability screen: a searchable list of dishes with in-stock switches and pin keys, one dish switched off to show the stocked-out state that greys its tile instead of hiding it

Step 4b: 86 a dish from the Desktop App itself; its tile greys on every Desktop App.

GST is not a pass you do dish by dish. The reader never guesses your tax registration, and it does not have to: imported dishes take the rate you picked under Settings → GST & bills, on your CA's advice. If older dishes still have no rate, the Menu page counts them and one button puts them all on it. The first-GST-bill guide shows where it lands on the paper.

Menu questions

Straight answers.

What if the AI reads a price wrong?
That's what the review grid is for, and it's the whole design. The AI's reading lands in a table you check and edit before anything saves; uncertain rows are flagged, and a row with a real problem blocks the import button until you fix it. You are the editor, it is the typist. On our pilot restaurant's 321-item menu, the import came through with zero wrong prices, and the grid is why we'd catch it even when it doesn't.
What files can I import from?
Photos and PDFs of your menu, up to 12 pages in one import and any mix of the two, or a single Excel or CSV sheet. Import with AI reads all of them, including a sheet in whatever layout it already has; all the pages are read together and use one of your store's AI menu imports. If your sheet follows our template's columns, drop it on Use our template instead: it goes in instantly with no AI, and a CSV there is parsed in your browser without being uploaded. And if you have no menu file at all, the built-in library of 245 common Indian dishes gets a working menu up in minutes.
Does the import set GST on my dishes too?
Yes, from your store's setting and never from the photo. A photo of your menu doesn't know your tax registration, so the review grid carries no tax column and the reader never guesses a rate. Every imported dish is put on the rate you picked under Settings → GST & bills, GST 5% or GST 18%, and if you are not GST-registered nothing is charged. A spreadsheet that has its own GST column keeps the rates it names. Change the store's rate later and every dish on it follows.
How do portions like Half/Full work?
Portions are one shared list of sizes for the whole menu, with a price per size on each dish. The import folds 'Chicken Biryani Half' and 'Chicken Biryani Full' into one dish with two portions on its own. On a menu you typed by hand, open a dish and press '+ Sell in portions' to start Half and Full. Need a Quarter, a Family pack, or any other size? Type it beside '+ Add size' on any dish; there is no limit on how many. A new size stays off every other dish until you price it there. The arrows beside a size change its place on every dish at once; a size cannot be renamed yet. Variants (a required choice) and add-on groups (optional paid extras) attach the same way in the item editor.
How do I mark a dish sold out during service?
On the Desktop App itself: Settings → Menu availability lists every dish with a switch. Flip it off and the tile greys out on every Desktop App and captain phone, greyed, not hidden, so staff can tell a guest 'finished today' instead of hunting for a dish that vanished. Flip it back when the kitchen restocks. It works offline and syncs to the dashboard; the dashboard's menu page has the same switch, and the two agree.
I changed the menu in the dashboard — when does the Desktop App see it?
On its own within moments when the Desktop App is online. In a hurry, the Desktop App header's sync key does it on demand. Its own tooltip says the job plainly: pull the latest menu, upload any pending sales. Offline, the Desktop App keeps selling from the menu it has and catches up when the connection returns.
Can EasyKOT enter my menu for me?
Yes. WhatsApp your menu photos to +91 72191 83939 and we will have your menu ready the same day. If you would rather do it yourself, add every page on Import with AI and press 'Read my menu'.
