Delete your EasyKOT account

This page is for owners of an EasyKOT restaurant account, including anyone using the EasyKOT Captain app for Android. EasyKOT and the Captain app are published by EasyKOT (KODEYARD), Ratnagiri, Maharashtra, India. One email, and the account and its data are gone within 30 days of your request.

How to ask

Email us from the address on the account.

Write to hello@easykot.com with the subject line Delete my account and your restaurant's name. Or send the same details on WhatsApp to +91 72191 83939.

We must be able to confirm the request came from the account owner, so please write from the email address you sign in with. If you no longer have access to it, say so and we will find another way to verify you.

What we delete

Everything, not a deactivation.

Within 30 days of your request we permanently delete:

  • Your owner account: name, email address, password and phone number.
  • Your restaurant's details: name, address, GSTIN, tax settings, menu, tables and printers.
  • Your staff records: names, roles, PIN hashes, shifts and pay records.
  • Your trading data: orders, kitchen tickets, bills, expenses, suppliers, cash counts and device records.
  • Every backup copy, within a further 60 days as older backups age out.

Your tills and phones also hold a copy. Each register and captain phone keeps its own encrypted copy of your data on the device, which is how EasyKOT works without internet. Deleting your account removes our copy, not theirs. On a captain phone, use Start over, reset this phone on the Device tab. On a register laptop, uninstalling the app does not remove the database: it stays, encrypted, in the app's data folder (named com.easykot.desktop) until that folder is deleted or the disk is wiped, and it can no longer sync or sign in once the account is gone. Write to us and we will tell you where the folder is for your operating system. A device you no longer have keeps the same encrypted, unusable copy.

What we must keep

Only the invoices we issued to you, because tax law says so.

Indian tax law requires us to keep records of the subscription payments you made to EasyKOT. After deletion we keep, and nothing else: your name, the restaurant's name and address, and any GSTIN you gave us, only as they appear on those receipts; and the receipts and payment records themselves. GST law asks for them for six years after the annual return is due and income-tax law for six years after the assessment year, so up to eight years, and then they go too. We do not use them for anything else.

Server access logs are kept for one year, which is the floor India's data protection rules set for investigating unauthorised access. They hold no bills, orders or menu.

We do not keep your restaurant's sales data. Your bills, orders and kitchen tickets are your records, not ours, and they are deleted with the rest.

Before you delete

Get your records out first.

Deletion cannot be undone, and your GST bill series lives in the data being deleted. There is no export: read or note down what you need (your GST bill series, orders, expenses) from the dashboard before you ask us to delete anything. Your accountant will want it.

How long it takes

Seven days to confirm, thirty to finish.

We reply within 7 days to confirm we have your request, and the 30 days run from the day you asked, not from our reply. We email you when it is done, and older backups age out within a further 60 days.
